Upon arrival in Olomouc, it is essential for students to report their arrival to the relevant authorities. In certain cases, it is obligatory to report the arrival to the Foreign Police and the MOI Offices of the Department for Asylum and Migration Policy in the Czech Republic.

Long-term Residence Permit Holders

Students who have applied for a long-term residence permit and possess visa (type D/VR) for the purpose of collecting the residence permit are required to register through the Welcome Office for their first biometric scanning at the MOI Offices of the Department for Asylum and Migration Policy. This allows the MOI Department to issue them their new residency documents.

Here's how to report the arrival to the Welcome Office:

  1. Send an email to welcome@upol.cz.
  2. Use "First entry in CZE" as the subject of the e-mail.
  3. Make sure to include your given and family names, date of birth, nationality, faculty, and the date of your arrival in the Czech Republic.

The Welcome Office will proceed to register the student at the MOI offices for biometric scanning, where the residency document will be issued. Once the MOI department contacts the Welcome Office with the student's appointment date, the Welcome Office will send an email to the respective student.

It is important to note that all matters and communication with students are conducted through university emails (e.g., frantisek.palacky01@upol.cz). Communication through the university email is highly recommended.

If a student stays in private accommodation, it is mandatory for them to report their arrival to the Foreign Police in Olomouc within 30 days. However, if a student stays in a dormitory or hotel, the responsibility for reporting the arrival shifts to the dormitory or hotel representatives (meaning there is no need for the student to report their arrival if they are accommodated in a dormitory or hotel).

If a student has a valid long-term visa for the purpose of studies when entering the Czech Republic for the first time, there is no requirement to register for a biometric scanning appointment.
